My Email Template to Help You Connect With Recruiters and Headhunters

I aim to make job hunting and career advancement less stressful and more successful. So, I created this template to help you when there is no specific job to apply for, but you want to connect with your recruiter.

It can be used when the recruiter works for a search firm, which means many jobs are only sometimes advertised. It can also be used when you want to be ahead of the game: be “top of mind” for the recruiter so they will think of you when future opportunities arise.

This email template is also useful when you are considering moving interstate or to a new town and want to introduce yourself to recruiters who work in that region. Note that this template is very formal. You may need to adapt it to suit your sector and personal style.

This template is helpful to you as you go through your job search and career advancement.

The Template

Allow me to introduce myself; my name is [Your First Name and Last Name]. I am interested in finding [describe the type of role: full-time, part-time, casual, contract employment, consider adding the region or city, sector or field].

Reading the case studies on the [recruiter’s company name] website was a great opportunity to identify me as someone who can add value to your clients [replace “reading the case studies” with another statement that best explains how you found them].
My focus [other words to replace “focus” could be “expertise”, “experience”, “interest”, “qualification”] is on [describe here]. I am an experienced [other words to replace “experienced” could be “enthusiastic”, “passionate”, “committed”, “hard-working”, “qualified”, “certified”] [describe what you do or want to do].

Some of the areas where I can make a significant contribution:

  • Leading ….. [or another Action Verb]
  • Designing ….. [or another Action Verb]
  • Executing ….. [or another Action Verb]

These are my most recent roles [or qualifications]:

  • From most recent to least recent, add the last three roles.
  • Title, organizational
  • If your title does not make sense (e.g., Executive Officer), describe what you did (e.g., Secretary to the Board)

Read your email twice before you clicking SEND to make sure all the information is correct and clear.

Make sure you have a proper email account to be used for job hunting. Some email addresses that are not acceptable:

Bad examples of emails addresses to use professionally
If needed, create a proper Gmail or equivalent for this purpose.

Ensure your Resume and Your LinkedIn are up-to-date and clean. 

Always use Grammarly or another grammar correction tool.

Have a proper and professional voicemail message set on your mobile. And answer the call whenever possible, if not possible, find a silent place and call back ASAP.

Remember that this email will be the first impression the Recruiter/Headhunter will have.
